Important steps to take when moving email providers

Are you prepping to move from a former email provider to Numero? Below is a checklist of what steps you'll want to take in preparation for the move:

Before Switching From Your Current Email Provider:

  • Verify Domain Ownership - you'll need to provide a subdomain (e.g. e.committeename.com) when setting up Numero Email Broadcast. Make sure your committee owns the domain, and that the subdomain you chose has been used before.
  • Export Opt In Lists - Download your Opt Ins (these are your subscribers). It's helpful to have lists of your 30 and 60-day openers and clickers, so be sure to make sure that data is part of the export. 
  • Export Opt Out Lists- equally as important are your Opt Outs- please export your unsubscribes, bounces, and your spam complaints (make sure each is labeled accordingly). 
  • Download Email Templates - Copy any templates you want to reuse by copying the html code. You can save them as 'Saved Templates' in the broadcast editor. 

Once you sign the Numero contract, or add-on Email Broadcast to your existing platform, Numero Support will point you to our email submission form where you'll submit details about your subdomain, default fields, logo, etc. Once the form is submitted, we will send you a set of DNS records to connect to your domain provider's site, and once the records are verified by Numero Support, the Email Broadcast tool will be activated in the platform.


After Your DNS Records are Verified:

  • Import Contacts - Import your subscribers (you can contact code your 30 and 60 day openers and clickers to set them up as some of your first engaged audiences during your warm up)
  • Import Your OPT OUT lists - your unsubscribed, spam complaint, and bounced following these instructions. This will keep these emails out of your audiences, which is critical to your email performance, especially in warm up.  
  • Build Action Pages - If your previous email provider had signup forms, petitions, or surveys, recreate them in Numero Action Pages. Any new submissions will automatically append to the corresponding Numero contact profiles.
  • Send Your First Email & Follow a Strict Warm Up Plan- Start warming up your new subdomain by emailing small, highly engaged audiences - the committee's "ride-or-dies". This includes recent contributors, people expecting communication from the team, contacts who reliably open, click, and engage (those 30 and 60 day openers and clickers!). Suppress the unsubscribed, spam complaint, and bounced email lists you imported into the platform previously. Send to small audiences daily and gradually increase volume. 
  • You will land in Spam Inboxes as you warm up the subdomain, so consistent cadence is key. More here on a warm-up strategy.
    • Tip: Save a list of committee staff emails along with support@numero.ai. Always include the list in the audience so those contacts can open, click, and engage to help build a positive early email reputation
