How do I deactivate a contact?
Deactivated contacts are contacts you want to remain in your database but that you'll likely have little contact with due to one of three reasons:
- Defunct- The contact is a Defunct Organization no longer operating
- Deceased- The contact is a Deceased Individual
- Do Not Contact- The contact is an Organization or an Individual that has expressed interest not to be contacted in any way
Keep in mind, when you deactivate a contact it:
- Removes the ability to search for the contact via the Contacts Tab
- Automatically excludes them when building Lists and Calltime lists
- Enables the contact to remain in the CRM, but can only be located and viewed using global search bar at the top middle of any CRM page
If you accidentally deactivate a contact by mistake, fear not, deactivated contacts can be reactivated at any time.
To deactivate a contact, follow the below steps for both individuals and organizations:
1. From the contact's profile, select the three dots next to the contact's name and then select the Deactivate Contact option.
2. Select either Deceased (individual), Defunct (organization), or Do Not Contact (individual or organization) and any notes needed within the panel that appears in the right-hand side. Then select Deactivate Contact.
3. The contact will have a red icon next to their name displaying that they have, in fact, been deactivated.
4. If you need to reactivate the contact, select the three dots next to their name and select Reactivate Contact. This will restore the contact to appear in the Contacts tab and will allow for inclusion on Lists and Calltime lists again.
5. The deactivated contact will not appear in the Contacts Tab, thus automatically excluding from lists and calltime lists but will appear by using the global searchbar.
